Parties and Wedding

This agreement is entered into by Northwind Studio (the "Planner") and Acme Co (the "Couple") for the wedding planning services described below. Replace the sample details with the specifics of the wedding date, venue, and guest count before signing.

Recitals

The Couple wishes to engage the Planner to design and manage their wedding, and the Planner holds the experience, vendor network, and availability to deliver those services through to the day itself. Both parties agree to the scope, fees, and terms set out in this contract, which supersedes any prior verbal or written understanding on the same subject.

Planning Services

Planning runs across three phases so the Couple can see how the wedding takes shape from concept to wedding day.

PHASE 1 · DESIGN AND BUDGET

Design and budget

Discovery sessions, design direction, and a detailed working budget aligned to priorities. Includes a shortlist of venues and vendors that fit the Couple's brief and budget.

PHASE 2 · BOOKING AND COORDINATION

Vendor booking and coordination

Vendor introductions, contract review, deposit tracking, and monthly planning check-ins. The Planner maintains the master timeline, RSVP tracking, and floor plan through to the final month.

PHASE 3 · WEDDING WEEK AND DAY

Wedding week and day

Final walkthroughs, vendor confirmations, rehearsal support, and on-the-day coordination with lead and assistant coordinators managing setup, guest experience, timeline, and breakdown.

What is included

Design direction and detailed working budget
Venue and vendor shortlisting, introductions, and contract review
Master timeline, floor plan, and RSVP tracking
Rehearsal support and final vendor confirmations
On-the-day coordination with lead and assistant coordinators

Not included: vendor fees, rentals, stationery, travel outside the local area, and accommodation for the Planner and assistants where the wedding is destination-based. New scope can be added in writing at any time.

Fees and Cancellation

The engagement is a fixed-fee package covering the phases above. A non-refundable retainer reserves the date on the Planner's calendar.

Payment Schedule

Cancellation

The retainer is non-refundable. Cancellations more than 180 days before the wedding require no additional payment. Cancellations inside 180 days require payment of 50% of the remaining balance; inside 60 days, the full balance is due. Date changes are honored subject to availability and count as a new booking.

About this template
