EVENT PLANNER CONTRACT
This agreement is entered into by Northwind Studio (the "Planner") and Acme Co (the "Client") for the engagement described below. It sets out the key terms, deliverables, fees, and acceptance required to move forward.

The Client wishes to engage the Planner on the terms described in this contract. Both parties confirm they have the authority to enter this agreement and that it supersedes any prior verbal or written understanding on the same subject.

EVENT PLANNER CONTRACT
The engagement runs across three phases. Each closes with a written deliverable and a review before the next begins.
PHASE 1 · PLANNING
Kickoff meeting, event brief, budget worksheet, and shortlisting of venues, caterers, and other vendors.
PHASE 2 · COORDINATION
Contracts with vendors, run of show, floor plans, timeline, and monthly status calls with the Client leading up to the event.
PHASE 3 · ON-SITE
On-site set-up supervision, vendor management, guest coordination, and end-of-night breakdown coordination.
Not included: vendor costs, catering, rentals, decor purchases, permits and licenses, and travel over 50 miles. New scope can be added in writing at any time.

The fees below cover the scope of work in the previous section. Payment terms are set out in the schedule that follows.

Cancellations more than 90 days before the event forfeit the retainer only. Cancellations within 90 days are billed in full unless the date can be rebooked and vendor commitments are recoverable.

The Event Planner Contract template is a five-page document for putting an engagement between the Planner and the Client on paper before work begins. It carries an overview with stat cards, a three-phase scope of work, a fee table with a computed total and payment schedule, and an acceptance page with inputs and signatures.
It is intentionally simple: rename what needs renaming in Bonsai, edit the scope and fees to match your engagement, and send. Merge fields handle the party details and date, and the last page collects the fields you need plus both signatures.
Everything below comes pre-configured. Turn sections on or off, edit the copy, or add your own — Bonsai remembers your choices for next time.
Do vendor costs go through you? By default vendors invoice the Client directly. Pass-through billing can be arranged for an added coordination fee.
Can you take on the full budget? Yes — full-service planning with vendor payments can be added as a separate scope in writing.
What happens on the event day? The Planner is on site for the hours in the fee table to supervise set-up, manage vendors, and coordinate the run of show.
