If your business relies on using the Shopify store, you will eventually have to learn how to use a Shopify invoice template. This solution can help save time, get paid faster, and help you manage your company expenses in a better way.

But how are Shopify invoice templates used, and how can you make the most use of them? Read this guide, and learn as much about the matter as possible.

What Is a Shopify Invoice App?

A Shopify invoice app allows you to create professional-looking invoices from the store so that you can request payment as promptly as possible. With this type of app, you can print out, customize and then send the invoice to your customers.

There are many apps and platforms that can help with that, one of them being Bonsai. You may create, customize, and generate invoices, credit notes, and quotes so that you can facilitate easy shipping and keep track of the items that you have in your inventory. Try a 7-day free trial today.

Benefits of Using Shopify Invoice Apps

There are several benefits of using a Shopify invoice generator app, including but not limited to the following:

Track Expenses

Shopify invoices allow you to keep track of transactions and payments that you receive from your customers. With this, you can know that your inflow will be bigger than your outflow and that you generate income from the online store.

Save Time

Your clients will buy and sell continuously from your online store, so you won't have time to type all the invoices manually. A Shopify app for invoices will take care of that for you.

Reduce Paperwork

Not only will this save you time and effort, but it will also help reduce the paperwork. With invoicing apps, all the data will be stored on the cloud, so you may access it at any time, from multiple devices.

Get Paid Faster

Invoicing apps will allow you to receive your pay much faster from the customer. All invoices will have their own unique numbers and due dates, so you will be able to keep track of who paid. If the client is close to their payment day, then automatic reminders will be sent.

How Shopify Invoices Work

Shopify invoices are connected automatically with the financial platforms that you use for your transactions. When your customers are purchasing from your Shopify store, the following things will happen:

An Invoice Is Created from the Order

The cash platform (e.g., Bonsai) will automatically create the pro forma invoices when the order is made or paid.

The Invoice Is Sent to the Customer

Once you sell your product, the invoices will be delivered to your customers through email. Customers may also choose to download the invoices directly from your store.

Receive Payment from the Customer

Your clients can pay directly to your store or through platforms such as Bonsai. You will be notified when payments come through.

How to Print Shopify Pro Forma Invoices and Receipts

Printing out receipts and invoices should be a feature offered by the Shopify store - but sadly, it is not. That being said, Shopify apps such as Bonsai allow you to print out through an invoice generator, namely the Order Printer.

Install Order Printer App

Install the Order Printer from the list provided by Shopify. There is an "Add App" button that you need to select there.

You will then be prompted to log into the store by using the Shopify admin URL. After that, you will be prompted to receive access to the features that your app requires.

Print the Invoice Template

During your main navigation in the Order Printer app, you will see a list containing recent orders from your clients.

Select one order from that list, and then go to the Templates section. Packing slips can also be printed out from this page, which is a feature already provided by Shopify.

If you like the invoice that way, select "Print." If not, move on to the next step.

Create a Custom Design

If you want to look more professional, you may want to customize your invoice. There are multiple platforms that can help you with that, one example being Bonsai.

One recommendation would be to add your business logo to your invoice. As you probably did it with the packing slips already, this should be easy. Bear in mind that for it to look good on the template, it should have a transparent background.

Once you upload, copy the URL file and change the following line: "<strong style="font-size: 2em;">{{name_of_shop}}</strong><br/><br/>" into "<img src="logo_url.png" style="width: 150px; height: 33px;"><br/>." Where it says "logo_url", add the URL for the logo that you previously copied.

Print the Receipt

For the most part, invoices are regarded the same as receipts. However, some clients will prefer to get a different template for receipts.

Find the Add Template button, and then customize it in the manner that you find most fitting. Name it as "Receipt," save it and send it to your customers.

How to Preview an Invoice in Just a Few Clicks

After you create the invoices, you may want to preview your documents first. This way, the professional image of your business will not have to suffer.

Here is what you need to do:

  1. Open the draft order that was delivered by your wholesale store
  2. Go to the information page of the order and select "Send Invoice."
  3. Once you get to the "Send Invoice" dialog, leave the custom message box empty and then select "review invoice."
  4. Check that everything from the cost to the company and client information is in order, and then send the invoice.

Make sure that all the documents and contact information are also in order before you send out the payment request.

The Bottom Line

Nowadays, it's very easy to sell your products on Shopify, without getting lost in the payments. You just need to use the right tools for that. Once you do, the cash flow should begin to improve, without wasting too much time on documentation.
